At Social Foundation India, we are committed to transparency and fairness in all our transactions. This Refund & Cancellation Policy outlines the terms and conditions for refunds on donations and program fees. Please read this policy carefully before making any payments.

1. Donation Refund Policy

1.1 General Policy

All donations made to Social Foundation India are considered final and non-refundable. Donations are used immediately to support our ongoing programs in women empowerment, education, and skill development, and contribute to our operational expenses.

1.2 Refund Eligibility

Refunds on donations will only be processed in the following exceptional circumstances:

Technical Errors: If you have been charged multiple times for a single donation due to a technical error or system malfunction.

Unauthorized Transactions: If a transaction was made without your authorization and you provide sufficient evidence of the same.

Processing Errors: If an incorrect amount was charged due to an error on our part.

Duplicate Charges: If your account was debited more than once for the same donation.

1.3 Non-Refundable Situations

Refunds will NOT be processed for:

  • Change of mind after making a donation
  • Disagreement with how funds are utilized (within our stated mission)
  • Donations made more than 30 days prior to the refund request
  • Donations where tax exemption certificates (80G receipts) have already been issued and utilized

1.4 Refund Request Process

To request a donation refund:

  1. Submit a written request to info@socialfoundationindia.org within 7 days of the transaction
  2. Include the following information:
    • Full name and contact details
    • Transaction date and amount
    • Transaction ID or receipt number
    • Reason for refund request
    • Supporting documentation (bank statement, screenshot, etc.)
  3. Our team will review your request within 5-7 business days
  4. You will receive a confirmation email regarding the approval or rejection of your request

2. Program Fee Cancellation & Refund Policy

2.1 Cancellation by Participant

Early Cancellation (More than 15 days before program start):

  • Full refund of program fees minus administrative charges (10% or ₹500, whichever is lower)

Medium Notice Cancellation (7-14 days before program start):

  • 50% refund of program fees
  • Remaining 50% will be retained to cover committed resources

Late Cancellation (Less than 7 days before program start):

  • No refund will be provided
  • Fees will be utilized for program costs already incurred

No-Show/After Program Commencement:

  • No refund will be provided for participants who fail to attend or drop out after the program begins

2.2 Cancellation by Social Foundation India

If we need to cancel a program due to unforeseen circumstances, participants will receive:

Full Refund: 100% of program fees will be refunded within 10-15 business days

Alternative Options:

  • Transfer fees to another upcoming program
  • Credit note valid for 6 months for any Social Foundation India program
  • Conversion to a tax-deductible donation (with your consent)

2.3 Program Modification

If we make significant changes to program content, schedule, or venue:

  • Participants will be notified at least 7 days in advance
  • Participants may choose to continue or withdraw with a full refund
  • Minor changes (timing adjustments, venue changes within same city) do not qualify for refunds

2.4 Transfer to Another Participant

Program registrations may be transferred to another eligible participant:

  • Request must be made at least 7 days before program start
  • Replacement participant must meet eligibility criteria
  • Administrative fee of ₹200 applies for transfer processing
  • Original participant remains responsible until transfer is confirmed

3. Processing Time & Methods

3.1 Refund Processing Timeline

Once a refund is approved:

Online Payments (Credit/Debit Card, UPI, Net Banking):

  • Processing initiated within 7 business days
  • Funds credited to original payment method within 7-10 business days
  • Total time: 10-15 business days from approval

Bank Transfer/Cheque:

  • Processing initiated within 7 business days
  • Funds credited within 10-15 business days
  • Total time: 15-21 business days from approval

Cash Payments:

  • Refund via bank transfer only
  • Provide bank account details for processing
  • Processing time: 10-15 business days

3.2 Refund Method

Refunds will be processed using the same payment method used for the original transaction. If this is not possible, we will contact you to arrange an alternative method.

3.3 Payment Gateway Charges

Please note that payment gateway charges (typically 2-3% of transaction amount) are non-refundable and will be deducted from the refund amount where applicable.

4. Exception Cases

4.1 Medical Emergencies

In case of medical emergencies preventing program participation:

  • Submit medical certificate from a registered practitioner
  • Refund request considered on a case-by-case basis
  • May receive up to 75% refund depending on timing and circumstances

4.2 Force Majeure

In cases of natural disasters, pandemics, government restrictions, or other force majeure events:

  • Programs may be postponed or converted to online format
  • Participants may choose to continue or receive credit for future programs
  • Refunds evaluated based on specific circumstances

4.3 Hardship Cases

For genuine financial hardship situations:

  • Submit a written explanation with supporting documents
  • Requests reviewed by our management team
  • Partial refunds or fee waivers may be granted at our discretion

4.4 Scholarship Recipients

Participants receiving scholarships or subsidized fees:

  • Different cancellation terms may apply
  • Refer to scholarship agreement for specific conditions
  • May be required to return scholarship amount upon cancellation

5. Tax Implications

5.1 80G Certificates

If you have received an 80G tax exemption certificate for your donation:

  • You must return the original certificate before refund processing
  • Inform your tax consultant about the refund for tax filing purposes
  • We will issue a revised certificate if applicable

5.2 Program Fees

Program fee refunds do not have tax implications as they are not considered donations.

7. Dispute Resolution

If you are not satisfied with our refund decision:

  1. You may submit an appeal in writing within 15 days
  2. Appeals will be reviewed by senior management
  3. Final decision will be communicated within 10 business days
  4. Our decision on appeals is final and binding

8. Policy Updates

We reserve the right to modify this Refund & Cancellation Policy at any time. Changes will be effective immediately upon posting on our website. Transactions completed before policy changes will be governed by the policy in effect at the time of transaction.

  • All refund requests must include complete documentation
  • Incomplete requests may cause processing delays
  • Refund timelines are approximate and may vary based on bank processing times
  • For urgent matters, please call our office during business hours
  • Keep transaction receipts and confirmation emails for your records
